Who is responsible
The data controller for this website is Smart Owl Software LLC, 30 N Gould Street, STE R, Sheridan, Wyoming 82801, USA, with engineering operations in Novi Sad, Serbia. You can reach us about anything on this page at hello@smartowl.io.
When you use the contact form
We collect what you type: your name, company (optional), email address, the project type and timeline you select, and your message. We use it for one purpose — to respond to your inquiry and, if there is a fit, to discuss working together. The legal basis is our legitimate interest in answering a request you made and, where we go on to work together, the steps needed to enter into a contract.
Submissions are validated on our server and posted into our team's Slack workspace, which is where we read and answer them. Along with your message we record the time of submission and your browser's user-agent string, for triage and spam filtering; we do not record your IP address. We keep inquiries for 24 months after our last exchange so we can pick a conversation up where it left off, then delete them. If you would like an inquiry deleted sooner, email us and we will.
The form includes a hidden field that helps us filter automated spam. People never see or fill it.
When you book a call
The “book a call” link takes you to Google Calendar's appointment scheduling. What you enter there is governed by Google's privacy policy as well as this one; we receive your name, your email address and the slot you chose.
When you browse
We use Plausible Analytics to understand which pages are read and where visitors come from. Plausible is hosted in the EU and works without cookies or any persistent identifier: it does not store your IP address, does not fingerprint your device, and does not follow you across sites. What we see is aggregate — page views, referrers, countries, and a handful of anonymous events such as “contact form submitted”. Because nothing personal is stored, no consent banner is needed for it and none is shown. Plausible's own data policy is at plausible.io/data-policy.
Our hosting provider keeps standard server logs (IP address, user agent, requested URL, timestamp) for a short period for security and reliability. We do not use these logs to identify visitors.
What we don't do
- We do not sell or rent personal data.
- We do not run advertising networks, tracking pixels or session recording on this site.
- We do not send marketing email. If you write to us, you hear back from an engineer about your inquiry and nothing else.
Who else sees it
Only the services named above process data on our behalf: Slack (where inquiries are read), Plausible Analytics (aggregate statistics), our hosting provider, and Google (calendar bookings). Each is bound by its own data processing terms. Where a provider is outside the EU/EEA, transfers rely on the EU–US Data Privacy Framework or standard contractual clauses.
Your rights
If you are in the EU, EEA, UK or Switzerland, you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to its processing, and to receive a copy in a portable format. If you are in California, you have comparable rights under the CCPA, and we do not sell personal information. To exercise any of these, email hello@smartowl.io. You also have the right to lodge a complaint with your local supervisory authority.
Changes
If we change what we collect or why, we update this page and the date at the top. Material changes are noted here for 30 days.
